Use Passare's AI Scanner to Eliminate Double Data Entry
What This Does
Passare's AI Scanner reads a photo of your handwritten first call or vitals intake sheet and automatically fills in the case record in Passare — eliminating the re-typing step that costs 15–20 minutes per case.
Before You Start
- You have an active Passare account (your funeral home must be a Passare subscriber)
- The Passare mobile app is installed on your phone
- You're logged in to the app
- You have a completed handwritten first call / vitals sheet
- Time needed: 2–5 minutes to scan and review

Steps
1. Open the Passare App on Your Phone
Launch the Passare app. From the dashboard, tap "New Case" or navigate to an existing case if you've already created the case shell.
2. Find the AI Scanner Feature
Look for the camera icon or "AI Scanner" option in the case creation or case details screen. It may appear as a "Scan Vitals" or "Photo Import" option. Passare updates this feature's exact location periodically — look in the intake or vitals section of a new case.
3. Photograph Your Handwritten Form
Hold your phone steady over the completed intake/vitals sheet. Ensure the full form is visible and lit clearly. Tap the shutter button. The AI Scanner will analyze your handwriting in a few seconds.
What you should see: A preview screen showing the form with detected fields highlighted or outlined.
4. Review the Extracted Data
Passare will show you the information it read — name, date of birth, date of death, social security number, address, next-of-kin details, physician name, etc. Review each field for accuracy. Common issues: similar-looking letters (1/I, 5/S), faint handwriting, or fields the AI couldn't read (it will leave these blank for you to fill in manually).
5. Confirm and Save
Tap "Confirm" or "Save" to accept the extracted data into the case record. Any blank fields will be flagged so you know what to enter manually.
Troubleshooting: If the scan quality is poor, try better lighting (natural light works best) or flatten the form on a hard surface before scanning. Passare's support team can also adjust recognition settings for your handwriting style over time.
Real Example
Scenario: You've just taken a first call for a removal from St. Mary's Hospital. The ER gave you a handwritten intake sheet with the patient's vitals and next-of-kin info. It's 2am and you want to create the case record quickly.
What you do: Open Passare app, start new case, tap AI Scanner, photograph the sheet under the overhead light in your removal vehicle.
What you get: Passare populates: full legal name, date of birth, date of death, time of death, Social Security number, hospital name, attending physician, next-of-kin name and phone number. You review, confirm two fields the AI misread, and save. Total time: 3 minutes instead of 18.
Tips
- Use a clipboard to keep the intake form flat when scanning — curved or wrinkled forms reduce accuracy
- If your current first-call form has unclear fields, Passare can help you redesign it for better AI recognition
