What you'll accomplish
By the end of this guide, you'll have Otter.ai set up on your phone to record and automatically transcribe arrangement conferences. Instead of splitting your attention between note-taking and listening, you can be fully present with the family while Otter captures every detail — service wishes, merchandise selections, special requests, and family stories — for your case file.
What you'll need
What you should see: A clean dashboard with your transcription history (empty at first) and a prominent record button. Troubleshooting: If asked for microphone permission, tap "Allow" — Otter needs this to hear your conversation.

What you should see: Live transcription appearing on screen as the conversation happens. Troubleshooting: If the transcription seems inaccurate, move the phone closer to the center of the table. Ambient noise (HVAC, music) can interfere — reduce background noise if possible.
Proceed with your arrangement conference as you normally would. You don't need to look at the phone — Otter handles everything. Stay focused on the family.
If something is especially important, say the key detail clearly: "So you'd like the service at 2pm on Thursday" — hearing it stated clearly ensures accurate transcription.
What you should see: A scrollable full transcript with timestamps, with speaker labels if multiple people were clearly heard.
After transcription, use these prompts to process the content:
Extract obituary details: "From this arrangement conference transcript, identify and list: the deceased's full name, dates, occupation, surviving family members, key life events, personality traits, and any specific stories mentioned. [Paste transcript]"
Extract merchandise selections: "From this transcript, list any merchandise items discussed or selected by the family, including any specific preferences mentioned about casket, urn, or vault. [Paste transcript]"
Extract service details: "From this transcript, summarize the service preferences: service type (burial/cremation), location, date/time preferences, officiant name, music requests, and any special items mentioned. [Paste transcript]"
